How I Use Notion to Manage My Client Projects
When I first started looking for a way to manage my client projects, I wasn’t just looking for any tool. I didn’t want to invest time (and mental energy) into yet another business platform that didn’t do everything I needed—or worse, forced me into a rigid structure that didn’t match how I worked.
As someone who struggles with ADHD, I knew I needed something that was easy to navigate, flexible enough to adapt to me, and wouldn’t box me in. That’s when I found Notion.
It was completely free, totally customizable, and gave me the creative freedom to build a system that actually made sense for how I think. So I decided to give it a try.
And while it was a little tricky to figure out at first, once it clicked… I never looked back.
Why Notion Works for Me
The reason I’ve grown to love Notion so much is because it lets you build your project management system exactly the way you think.
It’s not just a tool—it’s like taking the way your brain works and turning it into a visual, actionable system. That was a game-changer for me. I wasn’t just trying to fit into someone else’s process anymore. I was creating one that fit me.
A Peek Inside My Notion Client Portal
Here’s how I’ve set things up:
Home Page
My Client Portal home page is the central hub where I keep:
A Client Project Database that keeps me on task with what I’m working on with each client
Each page created in this database represents a different client project
A sticky notes sections to jot down ideas and reminders quickly
A goal planner that allows me to map out milestones and goals for my business
A beautiful, minimal layout that keeps me focused
Client Project Pages
Each client page includes:
A detailed project tracker that lists out every task, deadline, and step
A link to their Onboarding Hub—the part I share directly with each client
💌 The Client Onboarding Hub
This is a space just for the client. It helps them stay on track, submit deliverables, and feel confident throughout the process. It includes:
A welcome message and custom project overview
Easy upload areas for content and files
Quick access to resources, guides, and FAQs
A clean, calm layout (no more chaotic email threads or lost links)
